Enrolment Instructions
Enrolment Overview
To enrol you must complete all sections of the enrolment form and provide verified documents as detailed below. All documents must be received by NCNZ at least four weeks prior to the intake start date. Terms and conditions apply to every student enrolled with the College. These can be found on the enrolment form. The College reserves the right to make discretionary decisions on the suitability of applicants on a case-by-case basis.
The purpose of the enrolment application is to obtain from you the information needed to enrol you into a qualification at NCNZ. Some information is also collected for the Ministry of Education and other Government agencies for statistical and registration purposes. Please note that your name, date of birth and residency as entered on this enrolment will be included in the National Student Index, and will be used in an Authorised Information Matching programme with the New Zealand Birth Register. Application for enrolment will not be processed until:
- We have sighted verified documentary evidence of the applicant's full legal name and age, such as a verified copy of your birth certificate or passport. This is required of all students, including those returning for a further year of a course or enrolling in a further course of study.
- We have sighted verified documentary evidence of the applicant's citizenship, permanent residency, or residence in New Zealand with Australian citizenship or permanent residency. This includes a verified copy of your birth certificate, New Zealand passport, a statement of Whakapapa, certificate of citizenship, or overseas passport with residency stamp. This is required of all students, including those returning for a further year of a course or enrolling in a further course of study.
- Where cross crediting is being applied for, an Application for Cross Crediting form must be submitted with the enrolment form, along with photocopies of qualifications, certificates, academic outcomes, NZQA record of learning and other supporting documentation, such as course outlines detailing units studied, hours studied etc.
For all postal enrolments, the above supporting documentation must be submitted with the enrolment form. For online enrolments the documents can be:
- Scanned and submitted electronically with the enrolment application form
- Posted to NCNZ. Documents must be received by the College at least four weeks prior to the course start date and no longer than seven days following online application submission.
Once the above documents have been sighted and approved, the applicant will receive a letter of acknowledgement, along with a Public Trust Fee Protection Contract. The applicant is required to initial, sign and return the Contract to the College within seven days of its receipt.
If applying for a Student Loan to pay tuition fees, applicants are required to contact Study Link at least six weeks prior to the course start date. Course materials will not be dispatched until the Public Trust Contract has been signed, witnessed and returned to NCNZ, and course fees have been paid.
Verified copies of documents
All proof of identity documents provided must be verified copies. These are photocopies that have been signed as being true and accurate copy of the original by a Justice of the Peace (JP), Solicitor, Registrar or Deputy Registrar of the Court, General Practitioner, Minister of Religion or School Principal for example. You will find a list of JP's in the Yellow Pages of the telephone book or on www.jpfed.org.nz (JP's do not charge for this service).
- The name of the verifier.
- Their title (may be in the form of a stamp).
- Their signature.
- The date verified.

To obtain a birth certificate, contact Births, Deaths and Marriages on 0800 22 52 52. Copies of certificates can be ordered over the phone using a credit card for payment.
